Privacy Policy

Overview

ScoutGov is a service of Beezwax Datatools, Inc. (“we,” “our,” or “us”) that helps small businesses discover federal contracting opportunities from publicly available SAM.gov data. This policy explains what we collect, why we collect it, and the choices you have.

By accessing or using ScoutGov, you agree to the terms of this Privacy Policy and consent to the collection, use, and disclosure of your information as described herein. If you do not agree, please cease use of the service.

Information we collect

We collect only what we need to run the service:

  • Account information. Name, email address, and authentication credentials you provide when creating an account or signing in through a third-party provider (for example, Google).
  • Business profile. Company details you enter to generate matches — NAICS codes, set-aside eligibility, location, capabilities, and similar information.
  • Product usage. Searches you run, opportunities you save or dismiss, saved filters, and similar activity used to power your dashboard and improve recommendations.
  • Billing information. If you upgrade to Pro, payments are processed by our payment provider. We receive confirmation and subscription status, not your full card number.
  • Technical data. Standard server logs, IP address, browser type, and cookies necessary for sign-in and basic analytics.
  • Feedback. If you contact us via email or submit feedback, we collect your name, email address, and any information you provide. This may be used to respond to you and improve our service.

Tracking technologies

We use cookies and similar tracking technologies to operate and improve ScoutGov. We may use session cookies and persistent cookies to identify that you’ve logged in and to understand how you interact with our service. You can adjust your browser settings to stop automatically accepting cookies or to be prompted before accepting them.

Certain pages and emails may contain web beacons (also known as clear gifs or pixel tags) that allow us to count users who have visited pages or opened emails, and to gather related usage statistics. This information helps us improve the effectiveness of our service and communications.

How we use information

  • Provide, maintain, and improve ScoutGov.
  • Match your business profile to SAM.gov opportunities and send alerts you have opted into.
  • Authenticate AI-assistant connections (MCP) you authorize on your account.
  • Process payments, handle support requests, and send service-related notices.
  • Detect abuse and keep the service secure.
  • Improve our products and services, including through internal analysis and aggregated insights.
  • Send marketing communications, such as announcements, newsletters, and special offers, consistent with your preferences. You may opt out at any time.

SAM.gov data

Opportunity data comes from SAM.gov, which is publicly available. ScoutGov is not affiliated with or endorsed by the U.S. government. SAM.gov remains the official source of truth for federal contracting opportunities.

Sharing

We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share data only with service providers who help us run ScoutGov (hosting, email delivery, payment processing, error monitoring), and only to the extent they need it to do their job. These service providers are restricted from using your information for any purpose other than providing services to ScoutGov.

We may disclose information if required by law or to protect the rights, safety, or property of users or the public.

Business transfers. In the event of a merger, acquisition, reorganization, sale of assets, or bankruptcy, your personal information may be transferred as part of that transaction. We will require any successor to honor the terms of this Privacy Policy.

AI assistant (MCP) access

When you connect an AI assistant through OAuth, that assistant can act on your behalf within the scopes you approve — for example, running searches or reading saved opportunities. You can revoke access at any time from your account settings.

Third-party services

ScoutGov may contain links to third-party websites or services. The presence of a link does not constitute an endorsement or affiliation. Third-party services are governed by their own privacy policies, and we encourage you to review them before use.

Data retention

We retain account data while your account is active. If you close your account, we delete or anonymize your personal information within a reasonable period, except where we must retain records for legal, accounting, or security reasons. Note that deleted data may persist temporarily on backup systems before being purged. Retention periods vary by category of information and are determined based on the criteria described above (account lifecycle, and legal, accounting, or security obligations).

Your choices

  • Update or correct your profile at any time from settings.
  • Unsubscribe from marketing or alert emails using the link in any message, or by contacting us directly. Service-related emails (billing, security) will still be sent.
  • Request export or deletion of your data by emailing [email protected].
  • Opt out of our mailing list at any time via the “Unsubscribe” link in any email or by contacting us at [email protected].

Data protection for users in Europe (GDPR)

For users in the European Economic Area, ScoutGov is the data controller of your personal data under the General Data Protection Regulation (GDPR). We process your data on the following legal bases: to perform a contract with you; to fulfill our legitimate business interests (such as improving our services) in a manner that does not outweigh your rights; and, where applicable, with your consent.

Data subject rights. You have the right to: access your personal data; correct inaccurate records; request erasure or restriction of processing; receive a portable copy of your data; and object to direct marketing. To exercise any of these rights, contact us at [email protected]. If access cannot be provided within a reasonable timeframe, we will inform you of when it will be available. You also have the right to lodge a complaint with your local data protection authority.

Transfers to the U.S. Your personal data is processed in the United States. We transfer data from the EU to the U.S. only with your consent, to perform a contract with you, or to fulfill a compelling legitimate interest in a manner that does not outweigh your rights and freedoms.

California privacy rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (collectively, the “CCPA”), gives you the rights described in this section.

Categories of personal information. In the past 12 months we have collected the following CCPA categories of personal information: identifiers (name, email, IP address, account credentials); commercial information (subscription and billing status); internet or other electronic network activity (searches, saved opportunities, dashboard activity, cookie and web beacon data); geolocation data (general location derived from IP address or business profile); professional or employment-related information (company details, NAICS codes, set-aside eligibility, capabilities); and inferences drawn from the above to generate opportunity matches. Account credentials are treated as sensitive personal information.

Sources. We collect this information directly from you, automatically from your use of the service, and from third-party authentication providers (such as Google) when you sign in.

Business purposes. We use this information for the purposes described in “How we use information,” including providing and improving the service, authenticating users, processing payments, securing the service, and sending service-related and (where you have not opted out) marketing communications.

Categories of recipients. We disclose personal information to the categories of service providers described in “Sharing” (hosting, email delivery, payment processing, error monitoring) and, where required, to legal or governmental authorities.

No sale or sharing. We do not sell personal information and we do not share personal information for cross-context behavioral advertising, as those terms are defined under the CCPA. We have not done so in the preceding 12 months.

Sensitive personal information. We use sensitive personal information only for the purposes permitted under the CCPA without triggering a right to limit (for example, to authenticate you and secure the service). Because we do not use sensitive personal information for purposes that trigger the right to limit, no opt-out is required; if that changes, we will update this policy and provide an opt-out mechanism.

Your California rights. Subject to verification, you have the right to: (i) know what personal information we have collected, used, disclosed, sold, or shared about you; (ii) request deletion of your personal information; (iii) correct inaccurate personal information; (iv) receive a portable copy of your personal information; (v) opt out of any sale or sharing of personal information (we do not currently engage in either); (vi) limit the use of sensitive personal information (not currently applicable as described above); and (vii) not be discriminated against for exercising these rights.

How to submit a request. You may submit a verifiable consumer request by emailing [email protected] or by using the request form linked from your account settings. We will verify your request by matching information you provide against information we already maintain about your account. You may use an authorized agent to submit a request on your behalf, provided the agent furnishes signed written permission and we are able to verify your identity directly.

Response timeline. We will confirm receipt of your request within 10 business days and respond to verifiable requests within 45 days, with one 45-day extension where reasonably necessary. If we cannot honor a request, we will explain why.

Other U.S. state privacy laws

Residents of other U.S. states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, and Texas) have similar rights to access, correct, delete, and obtain a portable copy of their personal information, and to opt out of targeted advertising, sale, and certain profiling. We do not engage in targeted advertising, sale of personal information, or profiling that produces legal or similarly significant effects. Security

We use industry-standard safeguards including TLS in transit and encryption at rest. No system is perfectly secure, so please use a strong, unique password and keep your credentials private. You acknowledge that you provide personal information at your own risk, and we are not liable for unauthorized circumvention of our security measures.

Minors

ScoutGov is intended for businesses and is not directed to children under 18. We do not knowingly collect information from children. If we verify that a person under 18 has submitted personal information, we will delete it as soon as possible.

Do Not Track

We do not collect personal information about visitors’ browsing activities across third-party websites or online services and do not sell or share personal information. Accordingly, ScoutGov does not monitor for Do Not Track or Global Privacy Control (GPC) signals from your browser since no opt-out is required.

Changes to this policy

We may update this policy from time to time. If changes are material we’ll notify you by email or in-app notice before they take effect. Your continued use of ScoutGov after the effective date of any changes constitutes acceptance of the revised policy.
